Our standard turn around time is 24 hours but we will work with clients to develop a mutually agreeable processing schedule.

Please describe the reconciliation process.

Since ADP uses laser-printing technology, there is no need for pre-printed or pre-numbered check stock. You, the client, will provide ADP with all check numbers which will be printed onto your checks during processing. All signatures and logos reside as digitized images on our system and are also printed on the checks during processing. This eliminates any need to keep and reconcile any client specific check stock. This also eliminates any security concerns that are evident with pre-printed, pre-numbered check stock.

Describe MICR laser printer capability and back-up equipment on site.

ADP uses Xerox 4635 MICR laser printers with 100% MICR quality. Print Services currently has 13 printers on the premises with uninterrupted diesel generator power supply in case of long-term power failure. ADP also has a back-up site 17 miles away, as well as 45 identical sites across the United States.

What security features does your check contain?

ADP currently utilizes 24-lb. check and advice stock with the following security features:

Thermochromic Ink: A heat-sensitive imprinted logo that the check cashier can use to verify authenticity. This prevents fraud before the check is cashed!

Prismatic Printing: A multi-color printed background that is virtually impossible to accurately reproduce.

High Resolution Borders: An intricate design that is very difficult to duplicate.

Dual Image Control Number: Check stock that is pre-numbered with special ink that bleeds through the check, improving traceability.

  • All check registers are printed on 20-lb. blank white paper

Does ADP have the ability to insert additional items in the envelopes with a check or direct-deposit advice?

ADP has the ability to insert a total of 3 pages into each envelope. We will need to be advised of any insert at least two weeks prior to the actual insert date, so the material can be tested for compatibility with our equipment.

What procedures do you have in place to respond to customer inquiries?

ADP is committed to providing excellent customer service. To meet this goal, ADP assigns each Client to a primary Client Service Representative and alternates for back up. In addition, an Implementation Consultant is assigned to the account during conversion and becomes the primary production liaison. Both individuals and their back-up associates become the contact people for all new developments, changes, normal processing and problems that may arise.

Please describe your business disaster recovery process.

ADP Print Services has established a contingency plan including plan documentation, recovery "hot sites", disaster avoidance, and offsite vital records storage.

In the event of a disaster that results in prohibiting check production, the following process is invoked:

Senior person on duty notifies all operations management including the vice-president of operations and the general manager. The vice-president of operations assumes responsibility for:

  1. Assessing the situation to determine appropriate action:

    Estimated downtime of

    Estimated downtime of 4-8 hours is a "B level" emergency and requires further risk assessment associated with workload and maintenance situation.

    Estimated downtime of > 8 hours is a "A level" emergency and requires the following steps.

  2. Notifying:

    Corporate hardware and software support Corporate payroll and product support Corporate communication support Print Service Client service management

  3. Arranging processing at a National Service Center (NSC) region or the corporate computer center in Roseland. Exact location dependent on workload and situation at the host location.
  4. Arranging collection of back-up files stored off-site.
  5. Overseeing the file loading and processing at the back-up site.
